We are currently seeking a highly organized and proactive Executive Assistant to support our CEO. This role is pivotal in ensuring the smooth operation of the CEO's daily activities and requires a professional who can manage multiple tasks with precision and confidentiality.

Role Description:

As an Executive Assistant, you will be responsible for managing the CEO's calendar and schedule. This includes prioritizing meetings, avoiding conflicts, and ensuring a seamless daily flow. You will oversee email and communication, filtering and drafting responses on behalf of the CEO, and following up as necessary.

Your role will also involve preparing for meetings by creating agendas, gathering necessary materials, and ensuring the CEO is fully briefed. During meetings, you will take notes, track action items, and follow up with team members or clients to ensure deliverables are met.

In addition, you will handle travel and logistics, including booking flights, hotels, and managing itineraries, as well as accommodating any last-minute changes. You will support client coordination by scheduling calls, managing follow-ups, and preparing client briefs.

Your responsibilities will also include assisting with proposals and presentations by proofreading, formatting, and ensuring they are ready for delivery. You will track and organize company documents, such as contracts, reports, and confidential files, ensuring they are easily accessible and secure.

Research is another key component of this role. You will prepare briefs on industry trends, competitors, and prospective clients to keep the CEO informed and prepared for strategic decisions.

Maintaining confidentiality and acting as a gatekeeper is crucial. You will protect the CEO's time and handle sensitive information with the utmost discretion.

Work Environment:

All team members are required to log into our virtual Zoom office during their shift for real-time collaboration, training, and accountability. This ensures that our team remains connected and aligned with company goals.
